National AREC - ID Card Progress Report  

1st October 2016 (D Day) to 15th October 2016 5.1 All Area Managers are emailed the ID Request form. They then have to email it to all their Section Leaders. (Time allowed = 2 weeks).

15th October 2016 to 5th November 2016 5.2 Section Leaders collect data and complete the form and also enter the AREC database and update the information for their sections. This will entail addition of new members, removal of non-members, update of contact details, etc. Time allowed = a further 3 weeks (D+5weeks).

  5.5 AREC Secretary collates all supplied information into a master spreadsheet and then sends a subset of that data to the NZART Administrator to confirm the validity of the supplied membership details. The level of detail required needs to be confirmed between the two administrators.  
  5.6 AREC Secretary then updates the AREC database by flagged all the entries that are not currently NZART members and circulates a list to the Area Managers who can then advise their Section Leaders that the individuals concerned will be removed from the AREC system unless they join NZART. Allow a two week period for non-members to re-join. At the end of that period NZART Administrator advises AREC Secretary of all new updated NZART-AREC memberships.  
  5.7 AREC Secretary then creates a spreadsheet of all the validated records into one master ID Card spreadsheet (fields to be reflective of what will go on the card) and all the photos into one master file.  
  5.8 Once complete the file gets emailed to Authenticate and the ID photos get either emailed or placed into a shared Drop Box (not yet setup). Cards get posted back to Doug who then distributes them to each Area Manager or Section Leader (mailing details from their AREC membership file).
